Writers and Tutors Resource Page
COLL and PoN students recognize and appreciate the efforts that course writers and tutors take to respond to student needs, teach effectively, and create quality distance education materials. Creating COLL study guides can be very challenging for faculty who have not had experience in writing for distance education courses. Teaching students whom you do not make contact with regularly in a classroom requires a new set of skills.

This web page is a resource for writers and tutors who wish to continue to increase their expertise.

Writing Distance Education Materials
The Centre for Open and Lifelong Learning uses a team approach to develop instructional materials. Different members of the team have complementary responsibilities.

Writers Conf Your job, as the writer, is central to the process. It is you who supports the quality of each student's learning by developing student-friendly, interactive instructional materials that include a study guide, reader/CD/DVD and assignments. The proc-
ess begins with you and comes back to you for improvement.

You will liaise with course team members such as the content editor, instructional designer, language editor, graphic designer, quality controller and printers to develop material according to an approved syllabus and the COLL House Style Manual.

The COLL House Style Manual is designed to guide you in developing course material for COLL. It gives you the basic instructions for getting started. It is formatted as a study guide similar to the ones that students receive. This format will give you an understanding of how a study guide should be organised.

The manual is provided in PDF format and can be viewed within Adobe Acrobat viewer program. Download Adobe® Acrobat® Reader® here

Tutors ^ top ^
As a distance education tutor, you play a vital role in the dialogue that should take place in open and distance learning. It is expected that you apply different forms of tutoring to provide your students with essential ongoing dialogue that facilitates learning and provides the support students need. The dialogue that should take place between you and your students should include:
reinforcement of content and objectives
records to document student progress
academic support
dialogue to lessen feelings of isolation

Your responsibilities as a Marker-Tutor are to:
write an orientation tutorial letter which includes assignments
and a course outline
tutor-mark assignments
write feedback tutorial letters
set examination papers
mark examination scripts
offer face-to-face tutoring during vacation schools
provide academic support through telephone-tutoring and email-tutoring
provide additional handouts when necessary to supplement existing study guides
attend a one-day compulsory tutor-training seminar

Your responsibilities as a Face-to-Face Tutor are to:

provide students with academic support during face-to-face/weekend tutorials
encourage & motivate students
keep to the pre-arranged tutoring times as set by COLL

To assist tutors, COLL provides Manuals for both Marker-Tutors and Face-to-Face Tutors which may be obtained from the office at COLL or downloaded in a PDF format from the following link: Manual for Marker-Tutors  and Manual for Face-to-Face Tutors. The manuals are provided in PDF format and can be viewed within Adobe Acrobat viewer program. To provide additional support for Tutors, the Coordinator: Student Support reviews individual comments and feedback on tutor-marked assignments and tutorial letters.

Training Workshops ^ top ^
COLL recruits writers and tutors from among the full-time faculty members of the Polytechnic of Namibia. This assures that instructional materials and tutoring are comparable to those courses taught to full-time students. Faculty who are trained to teach in a residential teaching environment need to adjust their approach and methodology to effectively engage distance education students.

Writer's Workshop Workshops offering techniques for engaging students in critical thinking and writing quality distance education materials are offered during the year to help tutors and course writers to enhance their skills. These workshops also offer an opportunity for tutors and course writers to share ideas.

The workshops are designed to present both theoretical and practical approaches to tutoring and course development.

Design Support ^ top ^
A writer is part of a development team. Other team members include the content editor, instructional designer, language editor, graphic designer and quality controller.

Instructional designers ...
verify whether study material uses the COLL template and house style, but they also assist writers in organising their instructional materials so that students can learn through in-text and self-assessment activities. Instructional designers can help you create a course that is student-friendly and student-centred.

Language editors ...
give specialised guidance to course writers with regard to language accuracy on print-based course material for distance education students.

Graphic designers
create the final design and layout. They make sure that the "look" of the instructional material is consistent with other COLL materials. They also create organisation, illustrations, graphics and icons that help students visualise the material.

Please feel free to contact the designer associated with your project for ideas as you develop materials. Designers are to help you understand what distance education students need in their instructional materials and give you ideas to improve your study guide. COLL works with a number of designers on a contractual basis. Below is the contact information for COLL’s Instructional Designer and Quality Controller.
