Department: User Services
issue and receive circulating material promptly and accurately;
maintain accurate records of users, short loan and study collection records;
maintain a short loan collection service which efficiently allows a maximum number of students access to limited material;
maintain accurate statistics of library use;
assist users in obtaining desired material out on loan;
maintain and improve accessibility to the general collection through the prompt and accurate shelving of materials;
remind patrons of overdue material and ensuring that this material is returned to stock;
gives library training through an orientation program and library user skills lectures;
does library marketing.

Department: Subject and Research Services
Subject Librarians provide a range of services to staff and students, which focus on a particular area or discipline. They keep their assigned departments informed about events in the Library and learn from the departments about their library needs. Their main goal is to support, facilitate and enhance the research, study and teaching activities of students, staff and researchers.
 
Subject Librarians have the following responsibilities:
Serving as liaisons between the Library and one or more of the University's academic Schools, Departments or Programs to ensure that the Library's stock and services support the teaching, study, curriculum and research of the Polytechnic.
Developing a thorough familiarity with the information sources in their assigned subject area
Investigating and analysing course offerings and keeping abreast of developments in their assigned Schools and Departments
Attending Board of Studies and other meetings that provide opportunities to promote and enhance the Library’s role as an educational partner
Informing faculty on important Library policies and procedures
Creating print and web-based guides and tools required for the effective use of resources within assigned subject areas
Assisting in developing and maintaining areas of the Library’s website related to assigned subject and service specialities
Creating and maintaining subject portals for use by their assigned Schools
Preparing subject-based accessions lists, bibliographic guides and other publications in support of the Library’s collection and electronic resources
Assisting researchers to manage their citations and bibliography
Developing and presenting library and information skills training/information literacy classes to students
Developing and presenting subject-oriented bibliographic instruction to classes or groups, as well as to individual faculty members and students
Promoting library & information skills/information literacy and bibliographic instruction to faculty
Providing a specialised research consultation service and assisting students and faculty to find subject specialised information for assignments, reports and research
Assisting assigned Schools/Departments with the selection and evaluation of materials in all formats, in consultation with the Head of Acquisitions who manages the acquisitions budget
Making online past exam papers available to Distance Students in their schools

Department: Acquisitions and Technical Services
The Acquisitions and Technical services Department support research and education at the Polytechnic of Namibia, by ordering, receiving and paying for material added to the library's collection and by maintaining records management systems that provide information about the library's orders, receipts and budget expenditures.
 
The Acquisitions and Technical Services has the following responsibilities:
Ordering all books, periodicals, audio-visual material, etc. which are purchased from the library budget and departmental resource centre budgets.
maintain accurate records of users, short loan and study collection records;
Accessioning all incoming purchased and donated material.
Answering enquiries about all materials ordered by the Department.
Budgetary control and communication with Library Committee Members and lecturers regarding the funding and ordering for individual departments/faculties.
Informing lecturing staff of the latest publications in their field by sending them publishers' catalogues.
Regularly sending out Acquisitions Lists
Cataloguing and classification of all new materials, according to DDC and LCSH.
Creating and maintaining quality bibliographic records and authority control according to national and international standards.
Providing and maintaining physical access to the Library's collections through accurate inventory control and physical processing of materials.
Cooperating with and attributing to SABINET and other tertiary institutions to enrich the cooperative southern African databases.
The Inter-Library Loan services is also situated in this department.
